Have you ever called a business that typically closes at 5:00 a couple of hours after closing – or a professional office at 10:30 or 11:00 at night? Maybe on a holiday or Sunday afternoon or evening? How about 6:00 in the morning?
What do you hear if they forget to change their recorded greeting or only have just one that they use all the time? You get a recording that sounds something like they are so busy taking care of other customers that all of their employees or associates are busy doing that and no one can take your call right then. At midnight? At 4:00 in the morning? Sunday night?
Are you impressed? Do you feel a little insignificant? Do you see it as insincere? Regardless, it certainly is insensitive and unnecessary. Do you actually believe that all of their employees are on the job and talking on the phone with someone else in the middle of the night?
How about just hearing a simple message that just says what the office hours are and that we can call back or leave a message? No pretenses.
The truth that the office is closed or that someone is away from their desk is a whole lot easier to believe and accept than this illusion that every available person in the company is working non-stop with customers on every phone line - even long after the business would have closed.
